Job Description:

We are seeking a highly motivated and experienced Operations Manager to join our dynamic team. As an Operations Manager, you will be responsible for supporting various key activities, including general administration, contract management, HR functions, people management, contract compliances, team leadership, HR and accounting support, client relationship management, payroll management, invoice management, legal support, employee policy management, client issue resolution, and providing overall leadership in administrative operations. The successful candidate will play a critical role in ensuring smooth day-to-day operations, fostering team collaboration, and maintaining high-quality service standards.


Responsibilities:

  • Oversee and coordinate general administrative tasks to ensure operational efficiency.
  • Streamline processes and optimize workflow within the organization.

Contract Management:

  • Manage contracts with vendors, suppliers, and clients.
  • Review and negotiate terms and conditions to protect the organization's interests.

General HR:

  • Support HR functions, including employee onboarding, offboarding, and performance management.
  • Collaborate with the HR team to address employee-related concerns and ensure compliance with policies.

People Management:

  • Lead and mentor a team of operational staff to achieve departmental goals.
  • Conduct performance evaluations and provide constructive feedback for professional development.

Contract Compliances:

  • Ensure compliance with all contractual obligations and regulatory requirements.
  • Monitor and track contract milestones and deliverables.

HR and Accounting Support:

  • Collaborate with HR and accounting teams to maintain accurate records and financial data.
  • Assist with financial reporting and budget management.

Client Relationship Management:

  • Foster positive relationships with clients to understand their needs and address any concerns.
  • Regularly communicate with clients to ensure customer satisfaction and retention.

Payroll Management:

  • Oversee the payroll process, ensuring accurate and timely payment to employees.
  • Collaborate with the finance team to ensure payroll compliance with relevant regulations.

Support Management in General Administration Activities:

  • Assist senior management in various administrative tasks as needed.
  • Offer insights and recommendations for process improvements.

Invoice Management:

  • Oversee the processing of invoices, ensuring accuracy and timely payment.

Hiring and Terminations:

  • Collaborate with HR in the recruitment and selection process for new employees.
  • Manage employee terminations and exit processes.

Legal Support:

  • Work closely with legal counsel to address legal matters related to operations and contracts.

Employee Policy Management:

  • Ensure employees adhere to company policies and procedures.
  • Propose updates or changes to policies as necessary.

Client Issue Resolution:

  • Handle and resolve client issues and complaints promptly and professionally.
  • Implement measures to prevent recurring problems.

General Leadership in Administration:

  • Provide strong leadership and guidance to the administrative team.
  • Foster a positive and productive work environment.

Requirements:

  • Bachelor's degree in Business Administration, Management, or a related field (Master's preferred).
  • Proven experience as an Operations Manager or similar managerial role.
  • Strong organizational and problem-solving skills.
  • Excellent communication and interpersonal abilities.
  • Demonstrated leadership and team management skills.
  • Knowledge of contract management and legal compliance.
  • Familiarity with HR processes and practices, including payroll management.
  • Ability to multitask and prioritize tasks effectively.
  • Proficient in using MS Office and other relevant software.
