The Operations Lead will provide day-to-day operational management for all patient care services in the health center ensuring that all care is equitable, professional and of an excellent standard. The Operations Lead will work closely with the Chief Operating Officer to ensure the effective management of clinical activity and resources. The Operations Lead will serve as the first point of contact for staff and providers in the health center.


Demonstrates the ability to operate the health center efficiently and effectively

  • Schedules staff resources in a manner to support the patient care needs.
  • Maintains a steady flow of patients while maximizing provider time and patient access.
  • Educates staff and holds staff accountable to health center policies and procedures.
  • Manages supply inventory to ensure all necessary supplies are available for patient care.
  • Ensures compliance with all rules, regulations, and patient safety requirements.
  • Holds daily huddles to communicate practice and patient information to all team members.

  • Offers to assist team members when workload permits
  • Treats team members with respect and courtesy.
  • Assists in training and hiring team members.
  • Covers team members earned time off.

The Operations Lead will ensure proper patient intake.

  • Knows and understands check in processes and duties and supports Medical Office Coordinators to perform their best.
  • Knows and understands check out processes and duties, including referrals and supports Medical Office Coordinators to perform their best.
  • Knows and understands walk in registration processes and duties and supports Medical Office Coordinators to perform their best.

Demonstrates the ability to operate and maintain health center equipment and Point of Care machines.

  • Maintains office equipment and calls for service when appropriate.
  • Responsible for postage meter (if appropriate for the office). Refills electronic postage meter when needed and sends receipt to the accounts payable for payment.
  • Purchases and maintains an inventory of office supplies for the smooth functioning of the office

Acts as an Athena Super User and sets standards for staff usage of the EHR.

  • Understands the Athena EHR workflows of all roles in the health center.
  • Ensures proper electronic filing of correspondence and other reports into patient charts

The Operations Lead will serve as the main point of contact for all health center staff.

  • Collaborates with the Chief Operating Officer and the Clinical Leader to achieve a smooth and proper office schedule for nursing, front staff, and provider staff. This includes assisting with time off requests or callouts.
  • Participates in the selection, training and mentoring of support staff.
  • Assist the Chief Operating Officer with completion of outstanding encounters and billing issues.
  • Maintains and supports staff with adherence to the North Star Health Behavioral Standards. Consults with the Chief Operating Officer regarding employee performance issues/concerns.
  • Collaborates with the Chief Operating Officer to ensure efficient and effective operations of the health center.


Requirements:

3+ Years Experience in Primary Care

High School Diploma

Certified Medial Assistant/LPN/RN or Associates Degree

Special Skills

Leadership, patient flow management, supervision, listening, collaboration.


Must be fully vaccinated against COVID 19 virus and provide required vaccination documentation unless approved for an exemption prior to starting employment.
