Candidates should be able to assist management and all visitors to the company by handling office tasks, providing polite and professional assistance via phone, mail, and e-mail, and generally being a helpful and positive presence in the workplace.

Job Summary:

The successful AP Coordinator/EPS Office Manager will coordinate closely with our purchasing & farm teams in a proactive manner to keep vendor accounts in good standing and perform accounting, and clerical tasks related to the efficient auditing, recording and reconciling accounts payable transactions in compliance with established policies. The successful AP/OM will also coordinate office operations and procedures in order to ensure that we meet the customers' expectations for EPS and Horticultural product sales.

Summary of essential job functions:

  • AP Priorities:
    • Scan, review and process received vendor invoices.
    • Initiate and manage approval workflow to appropriate manager and G/L code all invoices.
    • Resolve contract, invoice, or payment discrepancies and documentation.
    • Monitor accounts to ensure payments are up to date and reconcile monthly vendor statements.
    • Track all capital expenditure (CSJ) expenses & monthly reconciliation.
    • Calculate month end accruals for electricity & natural gas.
    • Assist in month-end closing.
    • Financial audit assistance.
  • EPS Office Manager Priorities:

    • Manage all EPS sales and quotes on the product and shipping including all walk-in customers in a timely manner.
    • Find new avenues to sell our product. Visit with customers and strive to meet customers' expectations.
    • Once the order has been confirmed, schedule with internal team and schedule the carrier for pick up and loading.
    • Coordinate an efficient daily shipping schedule for our Driver.
    • Process orders that must be shipped out by UPS, from packaging and labeling.
    • Communicate with customers on payments and report weekly on collection efforts.
    • Update the inventory in the system once delivery has been received on supplies.
    • Manage the International Horticultural orders and shipments.
    • Month end closing - Record all inventory adjustments into the system, and report the company cost transfers, any journal entries if needed.
    • Primary receptionist for all of Corporate.

Minimum Required:

    • Bachelor's degree in accounting or related field
    • 3-5 years related experience; or equivalent combination of education and experience.
    • Proficient Microsoft Excel skills
    • Clean criminal history and drug free.
    • Excellent communication, taking ownership of assigned tasks, excellent interpersonal skills.
    • Ability to take initiative and work with minimum supervision, self-motivated.
    • Willingness to work nights and/or weekends, hours will change based on business needs.
    • Ability to tolerate exposure to warehouse elements such as heat, cold, water and dirt.
    • Able to lift up to 20 lbs and able to sit or stand for prolonged periods of time.
