Position Overview:
The Office Manager/Executive Assistant in the Career Services Division is a pivotal role, ensuring the smooth and efficient operation of the NGA office. This position requires a highly organized, dynamic, and detail-oriented individual who can manage multiple tasks, support senior staff, and contribute to the mission of providing first-rate geospatial intelligence.
Key Responsibilities:
Office Administration: Oversee the daily administrative operations, including management of office supplies, maintenance of office equipment, and ensuring compliance with NGA policies and procedures.
Support to Senior Staff: Provide comprehensive support to department leadership, including calendar management, travel arrangements, and document preparation.
Security Protocol Compliance: Maintain a secure office environment by adhering to strict security protocols, managing classified information, and ensuring all staff comply with security requirements.
Financial Management: Assist with budget preparation, financial reporting, and monitoring of expenditures to ensure fiscal responsibility within the department.
Communication and Coordination: Act as the primary liaison for internal and external communications, coordinating meetings, briefings, and special events.
Staff Development: Supervise administrative staff, providing guidance, training, and mentorship to foster a productive and positive work environment.
Qualifications:
Education: A Bachelor's degree in Business Administration, Management, or a related field is preferred.
Experience: At least five years of relevant experience in office management or administrative support, with prior experience in a government or military setting highly desirable.
Clearance: Must possess an active Top Secret/SCI security clearance.
Skills: Proficiency in Microsoft Office applications, PeopleSoft, Defense Travel System, excellent organizational and time management skills, strong communication abilities, and a demonstrated capacity for leadership.
Attributes: Adaptability, discretion, and a high degree of professionalism and integrity.
