POSITION: NAVWAR Executive Assistant & Director of Operations/ACTR Support (Mid) LOCATION: San Diego, CA; this is a hybrid role that requires 3 days/week on-site with the ability to be on-site additional days as required. POSITION FILL DATE: ASAP Position Description and Duties:
• Provide administrative support to a NAVWAR Competency Lead, Deputy Competency Lead, and Director of Operations to support day-to-day functions of the Program Management and Acquisition Office. Support government leadership with exceptional organizational and communication skills.
• Oversee schedules, manage calendars, appointments, meetings and engagements, and travel arrangements with accuracy.
• Plan internal and external engagements, including meetings, conferences, and events.
• Assist in the development of briefing material and drafting documents in accordance with Navy Correspondence Manual guidelines.
• Coordinate, monitor, and execute data calls to gather inputs from both internal and external stakeholders. Consolidate and communicate information from data calls to government leadership for further action.
• Provide Assistant Customer Technical Representative (ACTR) support and serve as the first point of contact for all Information Technology (IT) matters, questions, and troubleshooting. Position Requirements:
• Active Secret Security Clearance
• Minimum of 3 years NAVWAR programmatic and/or administrative experience with duties including: o Managing incoming and outgoing communications at the Program Manager-level. o Facilitating meetings by creating agendas, compiling documents, and assisting with presentations and briefs. o Attending meetings to record minutes and monitor follow-up action items to completion.
• Experience with NMCI (NIPRNet and SIPRNet) accounts and IT troubleshooting for PC desktops, Multi-Function Devices, and printers.
• Proficient with Microsoft Office Suite, including SharePoint and Teams.
• Ability to interact effectively with individuals at all levels to assist in the planning and coordination of activities with other NAVWAR and Navy organizations.
• Experience managing multiple activities with different clients, including changing priorities and short turn-around timelines.
