ESSENTIAL JOB FUNCTIONS/RESPONSIBILITIES

  • Manages all daily clinical records functions including establishing and implementing clinical records policies.
  • Ensures clinical record systems are maintained in compliance with state, federal and ACHC regulations.
  • Maintains comprehensive working knowledge of state, federal, and ACHC documentation regulations and serves as a resource for appropriate organization personnel.
  • Protects all clinical records through the establishment and implementation of control procedures for all open and closed records.
  • Protects the confidentiality of patient and organization information through effective controls and direct supervision of clinical records.
  • Forwards copies of clinical records to authorized users according to policy.
  • Completes an administrative record audit following patient discharge and forwards the record to the Clinical Supervisor for clinical audit.
  • Monitors aged unsigned physician orders and submits second and third requests for signed orders to overdue physicians, calls or visits the offices of seriously overdue physicians.
  • Supervises the use of the clinical records information system and maintains a comprehensive working knowledge of the system including upgrades and enhancements.
  • Recruits, selects, orients, and manages members of the clinical records team.
  • Manages the members of the clinical record team to ensure accurate and prompt filing and retrieval of clinical records.
  • Accurately enters a variety of data into information systems including external programs used to communicate with referral sources.
  • Assists the functions of billing, payroll, human resource management, and patient care management through timely and accurate data entry and system reporting.
  • Verifies accuracy of data entered through use of information systems reports.
  • Assists the Billing Manager and management team members in the preparation of monthly management, statistical, and financial reports.
  • Alerts appropriate management team members regarding late or missing documents required for data entry.
  • Monitor the Learning Management System with respect to outstanding required monthly trainings that would cause the agency to be out of compliance. Follows up with specific care team members to ensure trainings are done timely.
  • Alerts appropriate management team members regarding late or missing required monthly training by team members per ACHC and State regulations.
  • Performs other specific projects relating to data entry and computer operations as required.
  • Maintains confidentiality of patient and organization information at all times.
  • Assists with calling new admissions to schedule start of care visit.
  • At the direction of the Clinical Director, schedule visits in the EMR per clinician frequencies.
  • Monitor to ensure that all frequencies completed have been scheduled accurately.

POSITION QUALIFICATIONS

  • High school graduate required; Associate's or Bachelor's degree preferred.
  • Information systems knowledge required.
  • Demonstrated ability to supervise and direct clerical personnel.
  • Knowledge of corporate business management, governmental regulations and ACHC standards.
  • Demonstrates good communication and public relations skills.
  • Demonstrates autonomy, organization, assertiveness, flexibility and cooperation in performing job responsibilities.
  • Ability to type 50 words per minute
  • Email and Word processing skills
  • Personal computer skills
