Job Description: The Mechanical Project Coordinator oversees and manages engineered equipment orders, primarily Water and Wastewater treatment focused, that require special attention and processing due to contract requirements and equipment specifications. The project management Coordinator is the liaison between JCI, manufacturer, engineer, contractor and end user acting as the point of contact through the post award project phase including contract execution, order entry, submittals, equipment release, delivery, invoicing, installation, startup, contract closeout and warranty (as applicable). This position works closely with outside sales and inside sales personnel as well as the Service and Accounting departments to see projects through to successful completion, ensuring all contract requirements are fulfilled, and initial gross profit estimates are maintained. Essential Functions Manages projects from "cradle" (contract issuance) to "grave" (punch list, contract closeout documentation, release of retainage, etc.) Assists with contract review, terms and conditions approval, and contract execution. Maintains complete understanding of contract terms, equipment scopes and pricing. Responsible for all order entry functions in ERP system including booking orders, entering pricing, commissions, issuing purchase orders to suppliers and invoicing. Requests and/or compiles equipment submittals and O&M documentation; Submits, receives, updates, and tracks documentation through approval process. Releases equipment for manufacture at time of submittal approval, communicating lead-time and delivery schedules to all necessary parties. Coordinates equipment delivery, start-up and warranty service as required. Organizes and maintains electronic project files ensuring records are complete and accurate. Fields and handles customer inquiries quickly and effectively, engaging JCI or manufacturer personnel as needed to ensure complete customer satisfaction. Requirements 2+ Years project management or coordination experience with a general contractor, equipment manufacturer or equipment distributor. 4-year degree in Mechanical or Civil Engineering, Construction Management preferred. Knowledge of rotating equipment (pumps and motors); Familiarity with municipal Water / Wastewater equipment, processes, and technology helpful. Able to reference, read and interpret detailed engineered specifications and plans including P&ID (piping and instrumentation drawings). Highly organized and efficient; Skilled at multitasking and able to effectively manage numerous orders / projects simultaneously. Other Skills/Abilities Professional demeanor with ability to communicate clearly; Able and willing to communicate via phone, email, text message. Strong computer skills including Office365, PDF software (Adobe, PDF Xchange, etc.) Self-motivated with strong time management skills.
