Job Title: Manager, Conference Operations

Division: Finance and Administration

Reports To: Vice President, Conference and Office Operations/Director, Conference Operations

FLSA Status/Level: Exempt/Professional

Location: DC/Remote Hybrid



Position Overview:

The National Association of Manufacturers (NAM) is seeking a Manager, Conference Operations, and this individual will be a key member of the Conferences Operations team. The position includes managing registration for assigned conferences and events, in addition to the day-to-day operations of the remote meetings platform, supporting program stakeholders and the Conference Operations team as directed. This position will also have its own portfolio of conferences and events as assigned by the Director, Conferences Operations. They will be highly organized, adept at working in a fast-paced environment, have excellent communication and listening skills, and enjoy working in a highly collaborative environment.

External Meeting Services (90%)

  • This position is responsible for registration management for all assigned conferences and events, including onsite registration management.
  • Create and manage assigned CVENT meeting websites.
  • Full logistical management for assigned conferences, and plant facility tours.
  • Management of on-site event logistics for assigned conferences and events.
  • Manage Mobile App for assigned conferences and events.
  • Ensure high-quality event experiences for speakers and attendees by scheduling planning meetings, doing tech preparation with speakers, and managing the run-of-show in close coordination with program owners.
  • Manage site selection including venue research and contracting for assigned conferences and events.
  • Process registration requests/changes for events.
  • Manage the internal virtual webinar calendar and ensure no cross-over or overlap.
  • Plan, produce, and manage assigned virtual events.
  • Serve as point person on the day of webinars to coordinate and support all internal and external participants.
  • Work with program owners to coordinate logistics, communication, and registration content for all virtual events.
  • Keep abreast of industry trends and technology and make recommendations for integrating new technologies that will lead to greater efficiency and delivery of services.
  • Manage shipment of materials to and from events.
  • Some before and after office hours, weekends, and travel may be required (less than 25%)
  • Complete post-event tasks including reconciliation of expenses, evaluation of vendor services and products, and preparing written evaluations and recommendations.
  • Research and contract event vendors as needed.

Internal Conference Operations (10%)

  • Backup support for conferences and events held at the NAM Conference Center.
  • Management of vendors and temp staff as needed.

Supervisory Responsibilities:

  • No direct reports
  • Position may provide direction and guidance to temp or other staff assisting with Conference Operations.

We are looking for Team Players who meet the Following Criteria:

  • Bachelor's degree or equivalent experience.
  • CVENT Experience is Required
  • Minimum of 2-3 years of meeting management/planning experience.
  • Proficient in Webinar Platforms, Zoom, and GoToMeetings.
  • Proficient in MS Office including Word, Outlook, and Excel.
  • Highly collaborative, with demonstrated success working across teams.
  • Ability to coordinate and communicate effectively with staff at all levels.
  • Ability to manage multiple projects with competing and changing priorities and deadlines.
  • Ability to work effectively in a fast-paced, quality and goal-driven work environment.
  • Willingness to occasionally work nights and/or weekends
  • Must be willing to travel to assigned events if needed.
  • Ability to lift up to 30 lbs.
  • Position requires a cheerful and people-oriented disposition, with the ability to interact with various levels of people in a courteous, friendly, and helpful manner.
  • Innovative and focused on solutions and problem-solving.
  • Position requires a high degree of reliability and punctuality.
