Job Description Join a world-class academic healthcare system, UChicago Medicine, as a Clinic Coordinator, Lead in the the GI Clinic. Lead clinic coordinators function as the lead employee of clerical staff in the clinic practice and are responsible for the smooth flow of clerical activity. They perform supervisory, reception and clerical duties of considerable difficulty. The job involves extensive utilization of Hospitals' systems and constant interaction with patients, physicians, and other members of the Hospitals' staff. Essential Job Functions Orients and trains new clerical staff, including clinic coordinators, appointment coordinators, and file clerks. Supervises the daily work of clerical staff, including float coordinators, assuring that all tasks related to patient visits are performed completely, efficiently, effectively, and pleasantly. Assists in the selection and assessment of clerical employees; participates in disciplinary actions as required. Assures that medical records, films, and test results are available prior to patient visits. Manages physicians' templates in automated scheduling system to ensure physician and patient satisfaction with scheduling process. Oversees discharge and billing processes, and ensures that all financial encounter information is obtained in a timely and accurate manner. Obtains authorization for treatment from managed care organization, collects referral from patients, enters into EPIC data base, and forwards original to billing for appropriate recording. May serve as point of contact for pre-certification/pre-authorization of visits and/or procedures in clinic for managed care patients. Explains self-pay ramifications to patients; directs patients to Outpatient Services staff as necessary. Required Qualifications High school graduate or equivalent. Four years related public contact experience in a healthcare setting. Successful completion of medical terminology class. Demonstrated ability to organize a demanding work load. Demonstrated ability to train effectively. Ability to type 35 wpm or to perform data entry at 4500 keystrokes per minute, and perform general office duties of filing, Xeroxing, operating printers. Knowledge of hospital information systems desirable. Familiarity with telephone and intercom systems. Ability to enter and retrieve data accurately and quickly, check work and resolve mistakes. Strong verbal, writing, and number comparison skills. Strong interpersonal skills; ability to handle a wide variety of public contacts, including conflicts, with patience, tact, courtesy, and discretion. Preferred Qualifications College degree desirable. At least one year experience as a clinic coordinator. Supervisory experience.
