Job Title: Finance Associate - Payroll and Accounts Payable Specialist
Location: Santa Fe, New Mexico
Company: Sabio Systems (contract position with a nonprofit organization)
Salary Range: $26-$29 per hour
Schedule: Hybrid 3 days in office, 2 days remote
Sabio Systems has an immediate opening for a Finance Associate to work with one of our clients, a larger nonprofit organization in Santa Fe, New Mexico. This organization deals with grants, funding, and donations, making a positive impact in our community. Responsibilities for the Finance Associate:
Payroll:
- Maintain accurate employee records in the payroll system.
- Communicate regularly with payroll staff regarding required withholding and deductions (offsite payroll).
- Process bi-weekly payrolls and any additional payrolls as needed, ensuring timely payments to benefit providers.
- Assist the Controller and CFO in managing the 401k plan and required filings.
- Prepare and upload payroll journal entries into the accounting software.
- Remove exiting employees from payroll software and benefits, assisting with necessary paperwork.
Accounts Payable :
- Process accounts payable transactions accurately and timely.
- Review and verify invoices and purchase orders for accuracy.
- Ensure proper authorization and coding of invoices before processing for payment.
- Prepare and perform payment runs, including checks, ACH, and wire transfers.
- Reconcile vendor statements and resolve any discrepancies.
- Assist with month-end close processes related to accounts payable.
Qualifications for the Finance Associate:
- Minimum 3-5 years of experience in finance, including payroll and accounts payable functions.
- Working knowledge of scholarship payments, grants, and accounts payable processes is required.
- Ability to process 50-200 checks weekly.
- Experience in processing credit card transactions, including refunds.
- Proficient in vendor management and payroll setup/cleanup procedures before submission to agencies.
