Executive Personal Assistant to CEO, Global Family- Owned Innovative Technology Company, Houston Texas



A global family -owned innovative technology company that has been in business for over 60 years and caters to the oil and gas industry is looking for an Executive Personal Assistant, right hand for the CEO. This is an exciting opportunity for someone who really wants to be a true partner to him and be involved with every detail of his day including very heavy meeting scheduling and coordination as well as spearheading special events and board meetings. The ideal candidate has at least 8 years experience supporting a high- level executive, preferably a CEO.


About the Job:


Support the CEO as a right hand gatekeeper with all day-to-day matters including heavy complex calendar management; keep the CEO on track for these meetings and priorities, personal and professional


Organize and manage domestic and international travel arrangements with detailed itineraries including family travel(vacations). Experience with private jet travel a PLUS


Prioritize emails; proactively follow-up or bring attention to time sensitive and urgent matters


Prepare email correspondence, reports and other documents


Help prepare for board meetings coordinating the meetings and collateral material from start to finish


Plan company-wide events as well as customer events (3-4 big events/year). Ability to travel 3-4 times a year for these events to ensure they run smoothly


Build relationships with the CEOs direct reports and other internal stakeholders


Manage expense reporting


Some personal work, run errands, coordinate property management


Availability off hours via cell, within reason

About You:


Over 8 years of experience as an Executive Personal Assistant supporting a C-Suite Executive


Bachelors Degree


Ability to work well with customers in the oil and gas industry and internal stakeholders and manage those relationships with diplomacy


Experience planning board meetings and special events


Very detail oriented with the ability to change gears quickly - a true multi-tasker


High level of integrity and discretion in handling all confidential information; high emotional and intellectual intelligence


Excellent Microsoft Office Suite skills; excellent written and verbal communication skills


A type A personality who understands the art of diplomacy; a true problem solver who likes to work in a fast -paced environment
