Department: Kellogg Dean's Office Salary/Grade: EXS/8 Job Summary: Kellogg is actively seeking an experienced, exceptionally organized, and collaborative Executive Assistant for the Dean's Office, dedicated to delivering comprehensive administrative support to the Dean. Reporting to the Dean's Chief of Staff, this role will collaborate closely with both the Chief of Staff and Business Administrator to ensure seamless, efficient, and effective operations within the Dean's Office, with a strong emphasis on collaboration and communication. We are seeking a candidate who thrives in collaborative environments, adeptly juggles multiple tasks, remains composed under pressure, and exhibits meticulous attention to detail. Instrumental in guaranteeing the smooth and efficient functioning of the day-to-day operations of the Dean's Office, you will be a crucial liaison between the Dean's Office and various stakeholders. This role requires a high level of independent decision-making and the exercise of utmost discretion every day. You will play a pivotal role in alleviating the Dean's administrative load by delivering top-tier support, coordinating intricate schedules and calendars, and orchestrating high-priority meetings with finesse. Responsibilities include but are not limited to: providing daily and event briefings to enhance productivity, managing correspondence, overseeing projects, and coordinating travel arrangements from start to finish, as well as maintaining a master calendar. You will skillfully manage internal and external executive relationships with confidentiality and discretion. Specific Responsibilities: Partner with the Dean in managing and prioritizing her daily schedule, troubleshooting as issues arise throughout the day, and ensuring the Dean has the materials and preparation she needs to be maximally successful. Oversees the daily workflow of the Dean's Office, establishing effective systems, processes, and quality control measures to ensure the Dean and meeting participants are equipped with pertinent background information and briefings. Utilize expertise, discretion, and a comprehensive understanding of the Dean's priorities and preferences to manage and prioritize inbound communications, particularly emails, directed to the Dean. Review incoming messages, respond on behalf of the Dean when necessary, and collaborate with other school leaders to address inquiries, ensuring the Dean's time is directed towards high-priority messages and individuals. Manages all communications (written and oral) for the Dean's Office related projects, while exercising a high degree of professionalism, confidentiality, attention to detail and ensures best practice implementation. Must exercise impeccable judgment in vetting activities/requests and bringing them to the attention of the Chief of Staff, and ultimately the Dean. Manages senior relationships and associated assignments on behalf of the Dean's Office under the guidance of the Chief of Staff. This includes managing interactions with members of the senior leadership team, guest speakers, board members, donors, and alumni involved in high-visibility, high-impact projects. Assists with special projects, events, and initiatives as assigned by the Chief of Staff Minimum Qualifications Bachelor's degree or the equivalent combination of education, training, and experience from which comparable skills can be acquired. 7-10 years' experience in a professional/executive setting 5-7 years' experience in partnering with C-suite executives Minimum Competencies Proactive mindset to anticipate issues and to resolve independently of supervisor Strong communication skills Ability to multitask and complete assignments under pressure Professional presence to interact with faculty and external constituents Utmost discretion with confidential information Deep understanding of Dean's and Kellogg's priorities Target hiring range for this position will be between $90,000 - $105,000 per year. Offered salary will be determined by the applicant's education, experience, knowledge, skills and abilities, as well as internal equity and alignment with market data.
