The Executive Assistant will provide high-level administrative support to the CEO, who owns and operates both a company and a private equity firm. This role requires exceptional organizational skills, attention to detail, and the ability to manage complex travel arrangements and process extensive paperwork efficiently.

Qualifications:
  • Bachelor's degree and 5+ years of executive assistant experience, preferably supporting C-level executives
  • Exceptional organizational and multi-tasking abilities with superb attention to detail
  • Proficiency with MS Office Suite; experience with database management and CRM tools
  • Strong written and verbal communication skills with professional demeanor
  • Ability to work extended hours as needed and travel domestically/internationally
  • Capacity to handle sensitive information with utmost confidentiality and discretion
  • Flexible and able to thrive in a fast-paced, demanding environment

Key Responsibilities:
Travel Coordination (40%):

  • Arrange all domestic and international travel for the CEO, including flights, hotels, ground transportation, and travel visas/documentation
  • Coordinate intricate multi-city/country itineraries involving meetings, site visits, and events
  • Prepare detailed travel itineraries and trip folders with all pertinent information
  • Manage CEO's travel rewards programs and status levels
  • Arrange travel for accompanying staff or colleagues when required

Paperwork Processing (30%):

  • Manage and process all incoming and outgoing correspondence, contracts, proposals, reports, and other documentation
  • Expertly handle confidential and sensitive documents with discretion
  • Develop and maintain comprehensive filing systems, both digital and physical
  • Coordinate signatures and approvals on critical paperwork
  • Ensure proper formatting, proofreading, and quality control of all documents

Administrative Support (20%):

  • Manage the CEO's complex calendar, scheduling meetings and appointments across multiple time zones
  • Screen and prioritize phone calls, emails, and information requests
  • Make arrangements for meetings, conferences, and events as needed
  • Coordinate projects and follow up on outstanding tasks and deliverables
  • Maintain office supply inventory and process expense reports

Other Duties (10%):

  • Undertake ad-hoc research and special projects as assigned
  • Continuously improve processes and systems for maximum efficiency
  • Handle additional responsibilities as required to support the CEO
