SUMMARY: Management Business Solutions is seeking a Bilingual Executive Assistant for its client in the Grand Rapids area. This individual would be supporting the CEO with various administrative task.




RESPONSIBILITIES:



  • Provide administrative support to the President and CEO, including calendar management, email correspondence, and document preparation.

  • Manage incoming calls, emails, and correspondence, directing inquiries to the appropriate departments.

  • Coordinate events and meetings, handling logistics and communication with participants.

  • Assist with marketing efforts by creating and distributing promotional materials.

  • Monitor expenses, handle invoicing, and maintain office supplies.

  • Attend board and committee meetings as required to record minutes.

  • Support HR, sales, marketing, IT, and finance operations as needed.

  • Other duties as needed.




QUALIFICATIONS:



  • High school diploma required; associate or bachelors degree preferred.

  • Minimum of two years of experience in office administration.

  • Bilingual in English and Spanish required.

  • Proficiency in MS Office Suite (Word, Excel, PowerPoint, Teams) and Adobe Acrobat.

  • Strong communication, organizational, and problem-solving skills.

  • Detail-oriented with excellent time management abilities.

  • Ability to maintain professionalism and confidentiality.
