The Executive Assistant is responsible for:

  • Coordinating the day-to-day operations of the administrative office.
  • Assists leadership in achieving organizational goals for service, quality, regulatory compliance, financial performance, healthy work environment, and integration of inter-departmental activities.
  • Must have good organizational skills, excellent written and oral communication abilities.
  • Acts as liaison between department staff and the senior management team, assists management team with special projects, transcribes minutes from various meetings and assists guests, patients, families, staff, etc. with questions and directs them to appropriate personnel for assistance.
  • Acts as a liaison between physicians and Administration.
  • Participates in Performance Improvement activities to assure continuous Quality Improvement.
  • Maintains cultural and diversity awareness when dealing with patients, visitors, co-workers and all other customers.
  • Promotes a supportive, team-work oriented environment.
  • Fulfills departmental responsibilities with the long-range plan, mission, and vision and values.

Position Qualifications
  • 2-3 years of progressive responsibilities in an administrative setting is required.
  • Typing speed of 75 wpm is preferred
  • High level of verbal and written communication skills
  • Exemplary discretion, professionalism and confidentiality
  • Excellent customer service skills

Work Environment
  • Subject to irregular work hours and stress due to multiple phone calls and inquiries from doctors, department managers and employees.
  • Must be flexible, work at a fast pace and manage several projects at a time. Interdisciplinary contact with health care professionals.
  • Handles emergency or crisis situations, adapting to changes in all conditions that occur. Contact sometimes involves dealing with angry or upset clients.

Physical Abilities
  • May lift or push supplies and equipment weighing up to 30 lbs. from locations at or above shoulder level; required to obtain assistance for lifting more than 50 lbs.
  • Must use proper body mechanics while moving and lifting
  • Ability to reach above shoulders without difficulty and perform several tasks simultaneously
  • Manual dexterity and mobility needed for frequent reaching, stooping and bending.
  • Potential prolonged sitting, standing or walking
