Posit ion Summary: The Executive Administrative Assistant provides support to the President and Chief Clinical Officer who will provide considerable supervision and direction.
Essential Duties and Responsibilities: - Compose and prepare confidential correspondence, reports, and other complex documents.
- Screen incoming calls and correspondence and respond independently when possible.
- File and process licenses and applications as necessary for new clinic locations.
- NDA Tracker- Keep track of all signed NDA's with third parties.
- Order and maintain supplies for the equipment, department, and staff.
- Organize meetings, including scheduling, sending reminders, and organizing catering when necessary.
- Manage the executive's calendar, including making appointments , and prioritizing the most sensitive matters.
- Communicate with clients and members of other departments.
- Organize documents and files.
- Run errands as necessary.
- Performs other related duties and responsibilities as assigned.
Minimum Requirements: 3-5+ years of administrative assistant experience or equivalent professional experience
- Proficient with Excel
- Solid knowledge of EMR/EHR systems
- Strong analytical and problem-solving skills
- Strong work ethic; excellent communication and interpersonal skills
- Ability to interact effectively with clients, administration, and staff.
- Requires the ability to communicate with clients as well as target groups of diverse individuals.
- Customer service oriented
Preferred Requirements: - Experience working as an Executive Assistant to multiple Executives.
- Working directly with the President and Chief Clinical Officer
