DUTIES AND RESPONSIBILITIES -Contract Assistant - Monitor program activities for efficient management and distribution of resources. - Serves as point of contact for the onboarding of all new contract employees such as requesting the Network/SMART accounts (log on), prepare badge request forms through the Automated Badge Request (ABR), coordinate requests for government issued and other new contract employee administrative forms. - Reviews, updates and prepares new contractor welcomes packages - Assist the Contracting Officer Representative (COR) in the administrative coordination of contract task orders from proposal stage to project close-out in accordance with relevant regulations. - Organizes and maintains contracts records and management folders in SharePoint; - Reviews invoices through the online Invoice Processing Platform (IPP); - Develops and maintains a compliance calendar or tracking document of outstanding contractual tasks and reporting due dates in Excel, including contract renewals, registrations, action items and other areas as necessary, etc. - Assists the logistics division in product, equipment and supplier research and guidance. - Maintains complete and accurate contract files in accordance with all applicable regulations to facilitate internal administration and audits through eFiling in ILMS; - Submits requisitions through Ariba for minor contract modifications and associated supporting documentation for actions such as funding, request of period of performance extension, and other administrative modifications. - Assist with gathering data for briefing charts and reports as directed by the Division Chief and/or Contracting Officer Representative - Assisting with end of year purchasing and funding deadlines as they relate to contracting actions and maintain familiarity with customer contract policies. - Collects utilization data and prepares clear and concise reports as required. - Performs administrative support services such as facilitates management, assist space management team with document prep for meetings and records maintenance, safety, travel and transportation, emergency management, and resolving work order requests that are received through myServices. EDUCATION and/or EXPERIENCE
• At least two years of relevant experience as an analyst supporting programs in the field supporting the government contracting Or At least five two years of experience in multi-tasking complex projects, requiring interpersonal and customer service, writing, analytic, problem-solving and advanced computer skills Or
• Knowledge in the fields of purchasing and accounting acquired through the completion of an Associates degree and additional 2 years of relevant experience.
