Job Description Job Description As the Enterprise Content Management Manager, you will be responsible for overseeing the organization's Enterprise Management system, ensuring the efficient and effective storage, retrieval and maintenance of all digital and physical documents. You will play a critical role in maintaining compliance with regulatory requirements, streamlining processes, and optimizing document workflows to enhance operational efficiency and member service.

NORMAL DAY-TO-DAY WORK

  1. In conjunction with the Enterprise Content Management leadership team, develop and implement a comprehensive enterprise content management strategy aligned with the Credit Union's objectives, ensuring efficient handling, storage and retrieval of documents.
  2. Oversee the administration of our Enterprise Content Management System, including software configuration, user permissions and system upgrades.
  3. Establish and update standards for document classification, indexing and metadata tagging to facilitate easy retrieval and ensure data accuracy.
  4. Ensure document content compliance with relevant regulations, including, but not limited to financial industry regulations (e.g., NCUA, CFPB), data privacy laws and internal policies.
  5. Work with the AVP, Enterprise Content Management to collaborate with cross-functional teams including Legal and Compliance, Operations, Technology and other business units to gather requirements, address document-related needs and facilitate effective communication.
  6. Identify and implement opportunities to streamline document workflows, eliminate redundancies and automate manual processes to enhance efficiency and productivity.
  7. Work in collaboration with other business units and the AVP, Enterprise Content Management to assist with the evaluation and implementation of processes and document accessibility for member experience within the Enterprise Content Management system.
  8. Work with Training to develop and deliver training programs and resources to educate employees on document management best practices, tools and processes, ensuring compliance and efficiency.
  9. Establish quality control measures to verify document accuracy, completeness and integrity, addressing discrepancies or issues. Assist with audits.
  10. Manage relationship with enterprise content management vendors, overseeing delivery and ensuring alignment with organizational needs.
  11. Stay abreast of emerging trends, technologies and best practices in document management and recommend improvements to enhance system capabilities and operational efficiency.
JOB QUALIFICATIONS

Here are a few skills you MUST have to be qualified for this position.

  1. Minimum 7-9 years of experience in a business customer-facing role with experience in records management, program management, project management, business analysis or related field, including 1-3 years of management with strong interpersonal skills and building a team environment.
  2. Excellent analytical, problem-solving and decision-making skills.
  3. PC proficient including Microsoft Office (Word, Excel, PowerPoint, Access, Outlook) and the Internet.
  4. Ability to function in a Consumer business office environment and utilize standard office equipment including but not limited to: PC, copier, telephone, etc.
  5. Ability to lift a minimum of 25 lbs. (file boxes, computer printer).
  6. Travel required on occasion.
Here are a few qualities we'd LIKE for you to have to make you more suited for this position.

  1. BA/BS Business, Technology, Business Administration or related field.
  2. Experience working with Electronic Records Management technologies (e.g., Nautilus/OnBase) and information classification schemes including their development, implementation and maintenance preferred.
  3. Certified Records Manager (CRM), Process Improvement or Association for Information and Image Management (AIIM) certifications.
  4. In-depth knowledge of traditional records management principles using the Generally Accepted Record Keeping Principles .
