Position Summary: The Director of Medical Operations is a key leadership role responsible for overseeing and coordinating the efficient functions of multiple areas including Medical Records, Client Care Coordination, Nursing Support, and Provider Care Network. This individual will play a pivotal role in ensuring seamless operation of administrative functions, maintaining compliance with regulatory standards, and optimizing client service. The department performs many key tasks including acquiring and organizing medical records and bills of clients represented by law firms. It is vital that these records and bills are promptly and fully obtained, then delivered in a structured format. This department also provides client care coordination. The department includes Registered Nurses (RNs) who are available to support by reviewing and synthesizing records, offering education, and providing training to non-medical legal staff, and who provide consultations to clients to simplify medical information provided by healthcare providers regarding treatment recommendations. Essential Duties/Responsibilities: Develop strategic objectives and operational plans aligned with organizational goals. Provide strong leadership and guidance to departmental leadership and staff, while fostering a culture of excellence, collaboration, support, and continuous improvement. Oversee the management of medical records retrieval and organization, while ensuring accuracy, confidentiality, and compliance with regulatory requirements such as HIPAA. Provide nursing leadership oversight, including support for recruitment, training, performance evaluation, and scheduling, to ensure adequate staffing levels and high-quality client service. Oversee the Provider Care Network relationships to ensure highly qualified and reputable care. Establish metrics and benchmarks for evaluating departmental performance, client satisfaction, organization impact and operational efficiency. Analyze data and implement quality improvement initiatives to enhance client outcomes, streamline processes, and reduce costs. Collaborate with other department heads and staff to coordinate, resolve operational issues, and implement interdisciplinary initiatives. Foster effective communication and teamwork across the departments to enhance performance, develop personnel and achieve organizational objectives. Work Experience Requirements: Minimum of 5 years of progressive leadership experience in healthcare administration or similar field, with specific experience in records management, nursing administration, and client care. Strong knowledge of healthcare regulations, accreditation standards, and best practices. Excellent leadership, communication, and interpersonal skills. Demonstrated ability to develop and implement strategic initiatives, manage change, and drive performance improvement. Recent director or management experience with medium to large team size Relevant medical records experience, legal experience a plus. Exceptional verbal and written communication skills on the phone, in person and email Excellent time management, multi-tasking, and critical thinking abilities Understanding of injuries caused by motor vehicle accidents preferred Excellent organizational skills with outstanding attention to details Professional appearance and behavior Ability to maintain a high degree of discretion dealing with confidential information. Knowledge of HIPAA rules and regulations Education Requirements: Bachelor's degree in Healthcare Administration, Nursing, Business Administration, or related field. Master's degree preferred. Experience with Case Management software Proficiency in Microsoft Office Suite, HRIS systems and performance reviews Physical Requirements: Office environment with normal business hours necessary to satisfactorily perform job functions. Some overtime may be required to timely accomplish work demands.
