Job Description The Coordinator, Programs and Initiatives for NJ Clinical Operations serves as a key member of the clinical operations centralized team. Under the direction of the Director, Programs and Initiatives for NJ Clinical Operations, this role performs a wide variety of centralized administrative and support services for NJ Clinical Multispecialty Clinical Operations. This highly motivated individual will need to be able to work on tight deadlines, be competent in using Microsoft Office applications, and have exceptional verbal, written, and presentation skills. Job Description Essential Job functions: Responsible for the daily intake, documentation, and communication of unexpected absences and lateness within applicable clinical operations areas. Collaborates with leadership to coordinate and ensure quality assurance and improvement of centralized vendors. Serves as the single point of contact and project coordinator in the deployment of new vendor initiatives aimed at enhancing customer service and workflow(s). Serves as a strategic collaborator in the coordination of state protocols/procedures and strategic goals addressing centralized operations. Serves as resource/liaison to NJ clinical operations management teams and other administrative departments. Works collaboratively with Leadership to coordinate education and/or staff development sessions. Maintains staffing list and organization charts. Responsible for assisting in the coordination, planning, and organizing, of daily project operations over multiple locations withing NJ Clinical Operations. Responsible for providing administrative, analytical, computing, and general support for programs, projects, and initiatives. Coordinates and distributes New Jersey Hospital Rounding list and reports. Executes assignments and tasks requiring data collection, information gathering, analysis, data entry/retrieval, database maintenance, forms and graphic generation utilizing a variety of software. Coordinate project management administrative tasks. Monitors project plans, schedules, work hours, budgets, and expenditures, organizing and participating in stakeholder meetings, and ensuring that project deadlines are met in a timely manner. Prepares comprehensive reports, presentations, and official correspondence. Monitors project progress and creates project status reports for Director and stakeholders. Prepares and manages project management documents. Assists with resource scheduling so that team members have the resources they need to complete their tasks. Schedules stakeholder meetings, documents and generates reports/minutes. Assistance with facilitating communication between the project manager and stakeholders throughout the project life cycle. Manages project management documents such as the project plan, budget, schedule, or scope statement, as directed by the project manager. Coordinates and compiles data in support of project metric(s), goal(s), and organizational reporting Serves as point of contact for various working groups. Develops in-depth understanding of project scope and details i.e. timeframes, financials, outcomes. Understands and executes formal escalation and review processes. Fosters cross-team collaboration. All other duties as assigned. Preferred Skills, Experience, and Education: Bachelor's degree in public/business administration, public/population health, or related field, with 2+ years of work experience as a Project/Program Coordinator, preferably in an outpatient healthcare setting preferred. Additional related experience may be substituted for the degree on a year-for-year basis. Proficient computer skills including the use Microsoft Office, Outlook, Required Ability to effectively communicate to diverse groups in a variety of mediums (written, oral, presentation) Good interpersonal skills Experience with Teams and SharePoint as a collaboration platform is preferred. Superior organization and time management skills Ability to operate independently with minimal guidance from management. Able to manage multiple tasks in parallel, and can manage shifting priorities, demands and timelines. Willingness to work flexibly and travel throughout assigned locations.
