Construction Services Coordinator

Opportunity Summary:

The Construction Coordinator plays a vital role in ensuring the smooth operation of construction projects. This person will be responsible for various administrative tasks, coordination efforts, and project support activities to facilitate efficient construction operations and project management. The Construction Coordinator reports to the Director of Construction Services and works collaboratively with various teams and departments.

Responsibilities:

  • 1. Permitting and Documentation:
  • Order architecture, engineering, trusses, energy calculations, and plot plans as needed.
  • Submit or collaborate with permit services to ensure timely submission of permits.
  • Load permitting documents into Build Pro and initiate communication through email.
  • 2. Project Coordination:
  • Assist construction managers in addressing jurisdiction-specific issues.
  • Manage red tag fees and related payments.
  • Establish and maintain organized filing systems for construction documentation.
  • Coordinate contract start-ups and support budget reviews.
  • Assist with price changes/requests and collaborate with the construction service department on additional duties.
  • 3. Reporting and Communication:
  • Prepare construction progress reports for internal and external stakeholders.
  • Participate in various project meetings and distribute meeting notes to the team.
  • Manage office management duties to ensure a well-functioning workspace.
  • Implement procedures to enhance productivity within the construction department.
  • 4. Training and Development:
  • Develop training manuals and assist in training new hires.
  • Occasionally travel to job sites for on-site coordination and support.
  • 5. Additional Duties:
  • Coordinate and manage all documentation including plan submittals, permit submittals, plot plans, and model submittals as needed.
  • Maintain accurate sequence sheets derived from address lists and monitor Work-in-Progress (WIP) for timely permit submissions.
  • Handle overhead budgeting, reporting, payments, and job close-out budget reports in collaboration with the Construction Services Manager.
  • Handle Builder's Risk Reporting and insurance-related tasks in coordination with relevant parties.
  • Notify the PMG of project closings, assist in approvals, and collaborate with the purchasing department for community start-up and ongoing needs.
  • Compile Monthly EPO reports and maintain monthly Certificate of Insurance (COI) reviews.
  • Attend weekly meetings for architectural reviews and project meetings throughout the project lifecycle.
  • Set up site overhead equipment, manage DocuSign check requests, and handle overhead billing processes.
  • Notify property management of utility transfers and collaborate with administrators and managers to ensure project operations run smoothly.

Qualifications:
  • High school diploma or equivalent; bachelor's degree preferred.
  • Prior experience in construction coordination or a related field is advantageous.
  • Strong organizational, communication, and problem-solving skills.
  • Proficiency in MS Office Suite and construction software (e.g., Build Pro).
  • Ability to manage multiple tasks and prioritize effectively.
  • Attention to detail and commitment to accuracy.
  • Willingness to occasionally travel to job sites.
