ESSENTIAL DUTIES AND RESPONSIBILITIES Assist in the procurement process by preparing requests for proposals (RFPs), distributing the RFPs to contractors, collecting, and compiling bid submissions. Create summaries showing bid comparisons to assist with contractor selection. Lead the process of creating construction contracts and coordinate contract execution. Follow up with contractors to ensure that all required documents including certificates of insurance are received and contractors are properly set up in Elme's vendor payment system. Assist as needed in compiling permit submission documents in coordination with Architects, Expeditors and / or Contractors. Work with contractors and the property management team to create the project schedule and key milestone dates and ensure key dates are entered into Elme's project tracking system. Schedule weekly calls with contractors and the property management team to track progress. Work with contractors to ensure that all invoices are received with the level of detail needed to code the invoice to the proper job cost codes and manage the invoice approval process. Track costs in comparison to budget and request budget adjustments when necessary. Lead the job close-out process including tracking receipt of lien releases and compiling appropriate close-out reports. Maintain organized records for reporting purposes. Ensure electronic files are centrally located and properly maintained for the department, and that project specific files are maintained for the duration of the project and later distributed to the appropriate internal parties. Attend meetings as requested by the project managers to document the meeting. Assist the team in updating policies and procedures guidelines. EDUCATION AND/OR EXPERIENCE Bachelor's degree in Real Estate, Construction Management, Engineering, Business Administration, or a related field. Previous experience in project coordination or administration, preferably in the real estate industry. Other Skills Excellent oral and written communication Strong organizational skills with exceptional attention to detail. Proficient in project management software and Microsoft Office Suite. Yardi experience preferred. Ability to multitask, prioritize work, and meet deadlines in a fast-paced environment. Strong problem-solving and decision-making skills.
