We are seeking a motivated and detail-oriented Construction Assistant Project Manager to join our growing construction company. The ideal candidate will have experience in construction project management, excellent organizational skills, and the ability to work well under pressure.

Responsibilities:
  • Optimize a system that tracks all documents needed to obtain a complete project closeout package that must be submitted and approved 30 days prior to final project completion.
  • Manage the project closeout process from the beginning of the project, through the entire submittal process, in order to expedite the closure of the project and final payment.
  • Begin a game plan from day one of a project awarded
  • Determine client closeout requirements by analyzing contract specification.
  • Configure a logical work flow for proper documentation.
  • Obtain warranties, O&M, completion of punch list items, as-built drawings, change order and claim resolution.
  • Process (issue, submit and track) all project documentations within 2 days of receipt using Procore and VP to guarantee complete optimization and data integrity of Procore and VP.
  • Manage the entire Document Control process and project logs (RFI, Submittals, CO, Meeting Minutes, Schedule, Logs, Correspondence, PO, Subcontracts, etc.)
  • Process and scan all project documentation received via USPS, Fedex, UPS and via email to Procore.
  • Standardize and maintain accuracy of all logs Procore.
  • Prevent risk keeping track of all communication via secure and accessible via Procore/ ebuilder.
  • Obtain approval of all submittals/shop drawing 30 days before due date.
  • Maintain and review submittal and shop drawings and manage the interaction to/from Owner and Trade Partners/Vendors
  • Assist Sub contractors to accurately process all submittals/ shop drawing within 10 days of project award.
  • Review of plans and specifications with Subcontractors to understand their contractual obligations.
  • Obtain submittal approval a month before start of baseline schedule.
  • Follow up, track architect response for approval with contracted timeframe.
  • Complete optimization and data integrity in Procore and viewpoint
  • Assist in coordinating, tracking and organizing all contractual requirements, schedule, project specifications, meetings, documentation, system controls, etc.
  • Issue, submit and track all RFI's via project management software.
  • Attend all project OAC meetings and distribute meeting minutes within contract requirement.
  • Validate and audit all data entered into Procore and Viewpoint.
  • Meeting minutes distributed to all project stakeholders
  • Optimize the project billing life cycle to obtain owner approved payment application by the 5th of every month.
  • Assist Project managers with billing package.
  • Obtain Subcontractor invoices by 20th of each month.
  • Gather proper documentation needed for complete package including SOV, Continuation, daily reports, photo documentation, vendor invoices, lien waivers and certified payrolls.

Requirements:
  1. Bachelor's degree in Construction Management, Engineering, or a related field.
  2. 2+ years of experience in construction project management.
  3. Strong communication and interpersonal skills.
  4. Excellent organizational and time management skills.
  5. Ability to work well under pressure and handle multiple tasks at once.
  6. Familiarity with construction software, such as Procore and Bluebeam.
  7. Ability to read and interpret construction plans and specifications.
  8. Strong leadership and problem-solving skills.
