QUALIFICATIONS:

High school diploma or GED required. Associate degree preferred. A minimum of one year experience in an Administrative Assistant or administrative support position is required. A formal program leading to secretarial certificate/degree or equivalent can be substituted for the experience requirement. Microsoft Office (Word, Excel, PowerPoint, etc.) experience required. Experience working in the Clinical Services setting preferred. E-mail and Internet experience a plus. Must have attention to detail manner, able to meet deadlines, and good work attendance.

ADA ESSENTIAL FUNCTIONS:

  • Must be able to verbally interact with staff, clients and public.

RESPONSIBILITIES:

  • Maintains a positive peer relationship and performs as a team player.
  • Plans and prioritizes to maintain a time and attendance record which complies with Marimn Health policy.
  • Provides excellent internal and external customer service assistance, providing knowledgeable and appropriate information to customers.
  • Works independently in a very detail oriented manner and meets deadlines.
  • Completes tasks without having to be asked. Is a self-starter and stays busy and asks for additional work if all tasks have been completed.
    • Employee reports to work in a timely manner.
    • Employee utilizes breaks and meal periods to care for personal business outside of the work area.
    • Employee completes work assignments in a timely manner and appropriately exits the work area in a timely manner.
    • Employee appropriately utilizes Time and Attendance for clocking in and out and schedules absences in advance when possible.
    • Employee is available for scheduled work shifts regularly and communicates absence to supervisor in a timely manner if unavailable.
  • Performs other duties as assigned.
  • Provides administrative assistance to the Medical/Clinical Operations Director and staff of the Clinical Services Department, to include copying, faxing, scanning and emailing of essential program forms and correspondence.
  • Schedules appointments, confirms appointments by telephone.
  • Checks Mail Room daily for Clinical Services and distributes to appropriate department
  • Tracks staff appreciation days and employee birthdays for clinical services
  • Assists Clinical Support Coordinator with travel arrangements, purchase orders and travel expense claims as needed by staff.
  • Assists Clinical Support Coordinator with entering reimbursements, CME, and other purchases using Workflow for Clinical Service Departments.
  • Files MH documentation electronically using NextGen Document Management.
  • Answers and appropriately directs incoming phone calls for the clinical services departments.
  • Provides correct forms to clients depending on their specific needs. Assists clients with completing intake forms.
  • Assist with messaging for campaigns, patient scheduling, provider outs, etc.
  • Routes incoming client forms to proper provider/staff member.
  • Communicates with clients regarding procedures for intake process and when clients can expect to be contacted by provider/staff member.
  • Coordinates lunch & learns for clinical staff and providers
  • Creates the providers schedules following specific guidelines and requirements set by clinic management
  • Coordinates with HR on student rotations with Marimn Providers
  • Tracks all providers PTO, CME, T&T, 5 th days, student rotations, etc
  • Ensure templates are built out at least 6 months for all clinical services
  • Work closely with MA Supervisor ensuring templates are correct from a clinical standpoint
  • Assists with office supply inventory and ordering of both program and office supplies as needed.
  • Willingness to assist all Clinical Services staff and other departments if requested.
  • Serves as primary scheduler for meetings, teleconferences and conferences.
  • Communicate with Chiro/Optical on Medical Conference Room availability (print schedule weekly).
  • Types minutes and distributes to all staff in a timely manner.
