We are inviting an experienced Business Operations Manager to join our mental health practice. You will play a pivotal role in ensuring the success of our growing organization. Reporting to the Clinic Director, you will provide executive oversight and leadership to our business operations team. Your responsibilities will include direct marketing and business development, optimizing business processes, monitoring financial performance, and fostering a positive work culture. The ideal candidate will possess strong leadership skills, exceptional attention to detail, and a commitment to continuous improvement.

Palo Alto Therapy (in San Jose AND Palo Alto) is a growing 30+ person, high-end counseling center that is dedicated to providing quality mental & behavioral health counseling to those who are struggling with anxiety and depression problems. We specialize in helping our clients (children through adults) overcome panic, social anxiety, worry, OCD, depression, among many other emotional difficulties, using evidence based therapy, with a focus on Cognitive Behavioral Therapy. Requirements

Our Ideal Applicant

Master's Degree in Business, Marketing, or Public Administration or a closely related field is preferred.

Bachelor's Degree candidates considered with relevant experience

Excellent interpersonal and communication skills

Strong organizational skills and attention to detail

Sales, Marketing, and Business Development abilities

Creative problem-solving abilities

Mission-driven approach to leadership

Proficiency with technology and software applications

2+ years of leadership experience

High integrity, builds and sustains trust and inspires others

Main Areas of Responsibility and Duties:

Business development & marketing to increase clients, leads, and conversions

Partner with the Clinic Director to identify and oversee key performance indicators (KPIs)

Analyze current and incoming team member roles and responsibilities

Provide recommendations on organizational structure and future staffing needs

Maintain documentation and systems integration to ensure organizational memory

Monitor legal and ethical requirements, such as HIPAA and HR/labor regulations

Create annual department budget proposals and compensation plans

Oversee financial statements and insurance needs

Identify and implement process improvements

Research and implement new IT and project management software

Develop and communicate company-wide policies and procedures

Lead and develop the business operations team

Schedule Requirements:

Full-time, overtime exempt position requiring 40+ hours per week

Work Location:

This position is office-based in both of our locations, San Jose (80%) and Palo Alto (20%), but some work may be performed remotely (up to 20%).
