DESCRIPTION The Building Services Superintendent receives assignments in the form of objectives with goals and the process by which to meet the goals. Provides direction to employees according to established policies and management guidance. Administers policies that directly affect subordinate employees. Recommends changes to unit or sub-unit policies. Under general direction, manage teams including Special Events, Weekend, Building Maintenance and Custodial. Coordinate special events throughout campus including the Epstein Family Amphitheatre, Mandel Weiss Theater, Mandel Weiss Forum, Potiker Theater, Scripps Seaside Forum, Martin Johnson House, Jeannie Auditorium and many other campus wide venues. Special events are scheduled seven days per week, utilizing multiple work shifts on days and evenings including holidays. Extensive planning, scheduling and coordinating with customers to support events including pre set-up and post clean-up. Typical events include concerts, theater plays, graduations, weddings, birthdays, conferences, retirements, VIP receptions, farmers markets, Triton Days, staff & student gatherings, community non-profits, etc. Plan, direct, coordinate and supervise staff in all aspects of Facilities Management Building Services custodial operations. Ensure adequate staffing levels, use of appropriate cleaning methods, responsive customer service, building security, oversight of special events, special projects management, active training programs for supervisory and staff skill development. Conduct inspections and provide oversight of quality assurance, equipment, supplies and contractual cleaning as needed. Prepare and manage contracts with customers via Memorandums of Understanding and Operational Agreements. Plan, direct, coordinate and supervise various professional, semiskilled and unskilled large scale building maintenance services to include repair, remount, replace and install restroom/showering accessories, fixtures and dispensers. Window cleaning, installation and minor repairs to window blinds, maintenance of equipment including vacuum cleaners, wet/dry extractors, and floor waxing machines. Provide management and oversight of requests for reconfiguration of auditoriums and conference rooms. Ensure the physical security of campus buildings, research labs and facilities by following established security protocols and schedules in locking and unlocking facilities. Maintain and safeguard master key system for Building Services. Conduct regular quality assurance inspections of Facilities Management serviced facilities to ensure proper sanitation and building maintenance service levels, methods, techniques, task frequencies, equipment maintenance, sufficiently stocked and dated supplies and overall safety to identify and address/correct potential hazards. Identify and inform FM Customer Service Referral Desk or appropriate department regarding any issues noted while on campus to include graffiti, lights, locks, landscape, building damage, obvious mechanical failures, water leaks and other damages that should be brought to the attention of the Facility Management staff by other staff or contractors. Prepare work orders in Maximo for Building Services staff or other FM divisions as needed. Provide daily supervision and direction to professional and operational staff to deliver services, provide excellent customer service and accurate service information to customers and the campus community. Train and assign work to new and continuing employees. Provide guidance on performance standards, expectations and University procedures to supervisory staff. Encourage continuous learning and development through genuine commitment to education and training. Ensure Building Services staff are provided with adequate vehicles. Conduct cost benefit analysis to determine whether to lease or own vehicle inventory. Ensure vehicle maintenance and safety. Work with other departments for collaborative use of FM Fleet vehicles. Oversee Environmental Health and Safety training for existing and new employees in radiation, biohazard and proper use of chemicals. Determine and oversee special staff training and/or education activities to ensure health and safety of operations and continual staff development. May be required to work day shift , mid-day shift, evening shifts including weekends and holidays as operationally necessary. QUALIFICATIONS Solid knowledge in custodial and housekeeping services. Experience managing Building Services operations in a large and widely dispersed operation in University or College, School District, Hospital, Municipality or Government setting. Knowledge and successful experience planning and determining appropriate Building Services staffing models, work methods, equipment, materials and supplies and safety practices. Demonstrated supervisory experience and leadership skills to direct and coordinate the work of others. Experience planning and coordinating special events. Experience managing in a union environment. Experience managing and administering Building Services operations budget, planning and staffing operations. Competent in use of maintenance management software and systems (Maximo). Experience generating reports using maintenance management systems. Experience developing operations manuals e.g.; check list of Building Services tasks and frequencies; job assignments, work methods, cleaning schedules, inventory control and accountability, building security, SOP's, chemical and paper product standardization, emergency procedures and emergency contact information. Solid and effective interpersonal and work leadership skills to provide guidance to other personnel. Experience developing, implementing and delivering a variety of training activities to establish and maintain work standards, adhere to health and safety requirements and to develop supervisory and leadership skills among staff. Strong understanding of effective operation and human resource management practices. Solid decision making and reasoning skills, ability to develop original ideas to solve problems, and perform operations analysis and quality control analysis. Strong analytical and problem solving skills. Ability to proactively and professionally handle a variety of situations at various levels in the University's community (from line staff to building operators to faculty). Solid verbal and written communication skills in the English language, active listening, flexibility, critical thinking, multi-tasking and time management. Excellent interpersonal and communication skills, including verbal and written methods Intermediate computer application skills. Experience effectively operating personal computers using a variety of software packages such as MS Word, Outlook, Excel, Access; Microsoft Office Suite to create special presentation materials (charts, spreadsheets, Word documents, PowerPoint presentations, etc.) for strategic planning and technical report writing; timekeeping systems; Computerized Maintenance Management Systems (such as MAXIMO); PeopleSoft; Oracle. Demonstrated and successful experience in effectively facilitating and coordinating customer service, communications and logistics. General knowledge of building systems. Extensive experience working in a service-oriented environment. Excellent interpersonal and communication skills, self-motivation, adaptability, tactfulness, and decisiveness. Ability to communicate effectively with people of many diverse backgrounds including students, staff, faculty and customers. Ability to work effectively in a service oriented environment subject to frequently changing priorities utilizing problem skills and sound judgment. Demonstrates competency and commitment to equity, diversity, and inclusion. SPECIAL CONDITIONS DOJ/FBI background and DMV checks and clearances required prior to employment. Must possess and maintain valid California Driver License. This position will be required to drive a university vehicle and participate in the DMV Employer Pull Notice Program. Ability to work in morgues/gross anatomy/pathological laboratories where human/animal bodies or parts thereof may be exposed to view of the worker and/or contaminated by radioactive bio-hazardous substances.
