The Department of Ophthalmology, a rapidly expanding clinical entity within the School of Medicine, boasts a diverse team of 52 faculty members, 20 residents, 5 fellowships, and approximately 75 staff. With extensive research investments totaling $12 million, professional and facility patient care collections of $27 million, and an endowed principle of $36 million, the department operates across multiple campuses. Its services span various UW Medicine entity locations, hosting a Vision Science Center of Excellence at the South Lake Union Research Campus, while this role is based at UW Medicine Harborview Medical Center's Ninth & Jefferson Building.

Ophthalmology has an outstanding opportunity for a Temporary Budget/Fiscal Analyst.

POSITION PURPOSE

Reporting to the Finance Manager, the Program Financial Analyst is responsible for a range of analytical and technical duties crucial in the planning, assessing, preparation and monitoring of non-clinical and non-research budgets. Collaborating closely with the Associate Director of Finance & Research and other unit managers, this role will perform a variety of complex reporting and analysis to ensure the long-term financial health of the Department of Ophthalmology. Responsibilities encompass producing financial statements, status reports, budget revisions, revenue and expense forecasts for various funding sources, including gifts, endowments, research funding, and various revenue streams.

DUTIES AND RESPONSIBILITIES

Financial Analytics (85%)

  • Employ working knowledge of UW financial and accounting systems and databases, extracting financial data from Enterprise Data Warehouse (EDW), Workday, and other University financial systems to design and maintain complex financial reporting/analytical tools that ensures accuracy and efficiency of regular and ad hoc reporting.
  • Model financial report templates with advanced excel skills including VLOOKUP, INDEX MATCH, IFERROR, INDIRECT, Pivot Table, Conditional Formatting, Macros and VBA (Visual Basic for Applications), Data Simulations, etc.
  • Prepare financial summaries for gifts, endowments, faculty commitment startups and research support status reports for leadership review.
  • Analyze income programs' financial data, tracking trends in revenue and expenditures through monthly, quarterly, annual, and ad hoc financial reports reporting.
  • Ensure that budget spending is aligned with planned spending; advise on remedial actions when spending deviates from planned expenditures.
  • Develop audit plans, evaluate financial alternatives, and recommend appropriate actions.
  • Prepare budget revisions and projections, annual or biennium budget close documents and maintain documentation.
  • Manage and update department financial worktags in Workday for a variety of financial reporting purposes.
  • Perform department monthly actuals compensation reports and analyze discrepancies.
  • Forecast and project salaries and benefits on various fund source accounts as required.
  • Execute various financial transactions and approvals, including Journal Vouchers, expenditure transfers, and cash transactions necessary for corrections.
  • Assist Finance Manager and the Associate Director of Finance with fiscal year-end and biennium closing processes.
  • Review and approve month-end financial reconciliations and approvals between Workday and gifts/endowed accounts as assigned.

Administrative Operations (10%)

  • Support administrative processes such as Procard, procurement, reimbursement, payroll cost allocations, and invoice processing.
  • Coordinate equipment inventory and insurance-related matters with the SOM Dean's Office.

Other (5%)

  • Provide backup support for general administrative tasks and office activities as needed.
  • Provide backup support as needed which may include assisting colleagues, faculty and or supervisory staff.
  • Perform other duties as assigned.

MINIMUM REQUIREMENTS

  • Bachelor's degree in Business, Finance, Accounting, or related field
  • At least five years' experience in financial analysis and reporting
  • Finance and General Ledger experience in a large institution
  • Demonstrate inclination to grasp new systems and operations autonomously
  • Able to quickly investigate situations and prioritize multiple competing deadlines, works well under pressure and meet deadlines
  • Strong analytical and problem-solving skills
  • Proven accuracy and attention to detail
  • Able to use discretion and maintain confidentiality
  • Able to work both independently and collaboratively
  • Excellent communication skills and time management
  • Experience with Excel

DESIRED QUALIFICATIONS

  • Experience with UW General Ledger, Workday Financials, and Enterprise Data Warehouse (EDW)
  • Proficiency in with Microsoft PowerBI, SQL or Tableau
  • Familiarity with Microsoft Office Suite, Zoom and Teams
