This position includes clerical and administrative functions that are involved in maintaining benefit enrollments, verification, as well as administering and maintaining 401(k) plans at various sites. Administers and serves as point of contact for corporate and field personnel benefit programs. Assure the production of all benefit plan communication and enrollments. Continuously review and monitor the critical components of each plan and process to ensure accuracy and quality, timely delivery and processing of all benefit forms and enrollment materials.

Essential Functions

  • Administer employee benefit programs which include medical, dental, vision, life and ADD, disability, 401(k), employee assistance program, flexible spending accounts, and COBRA
  • Setup open enrollments, process benefit enrollments, terminations and changes in the HRIS system and carrier websites
  • Email benefit confirmation information and required notices to employees that elect to enroll
  • Responsible for ensuring accurate and timely processing of benefit deductions, reporting and analysis, and compliance of all benefit programs and rectify any issues
  • Run weekly termination reports and confirm benefits are termination on all insurance carrier websites, enter COBRA event in the HRIS. Follow up with the COBRA vendor to confirm paperwork was mailed out
  • Maintain an in-depth understanding of all benefit programs and eligibility requirements for each
  • Process weekly new hire reports and email benefit enrollment information to all benefit eligible employees
  • Develop a strong working relationship with vendors to ensure accurate, efficient, and timely administration and delivery of excellent customer service
  • Handle employee benefit inquiries and complaints to ensure quick and courteous resolution
  • Resolve conflicts with benefit providers for the purpose of verifying eligibility, conveying information and processing claims
  • Ensure company compliance with provisions of the Employee Retirement Income Security Act (ERISA), IRS, DOL, PPACA, FMLA, ADA and all other state and federal laws pertaining to benefits
  • Review and enter all Court Orders for insurance benefits
  • Reconcile monthly insurance bills and work closely with finance department to ensure billing and payment accuracy to insurance carriers
  • Coordinate corporate wellness initiatives. Design and implement wellness initiatives and programs for entire company. Track employee wellness initiatives.
  • Responsible for FMLA leave administration
  • Complete administration of 401(k) program including reporting, monitoring, employee questions and compliance.
  • Research and provide input in the selection of employee benefit programs.
  • Develop and implement benefits communication strategies to maximize the value of benefits to the employees and organization
  • Other duties as assigned

Minimum Qualifications

  • 3 - 5 years' experience with benefits and 401(k) administration for multiple sites
  • Strong knowledge of Microsoft Excel
  • Ceridian Dayforce HRIS benefits experience a plus
  • Knowledge of the HIPAA Privacy Rule, the group health plans' health information policies and procedures, and all of the provisions of the group health plans' privacy notice
  • Bachelor's degree / benefit certification preferred
  • Available for minimal travel
