Position Type: Full-time, non-exempt. The normal work week for this position is 37.5 hours per week, Monday through Friday 8:30am to 5pm. Some overtime may be needed to meet the needs of the department. All changes in hours of work and/or additional hours must be pre-approved by direct supervisor. The schedule is determined to meet program and consumer needs.

What to Expect: Devereux/TCV is currently seeking a dedicated and responsible person to fill our Behavioral Health Office Secretary position at our offices in Braddock, PA.

This position plays a critical role in fulfilling the mission of the Service Coordination Unit/department and Devereux/TCV Community Services. We are looking for a compassionate individual who believes in a strengths-based approach and uses positive practices to help guide their everyday activities. The Behavioral Health Office Secretary position is designed to:

Work simultaneously with supervisors and communicate in an effective and professional manner to ensure Departmental needs are met.

Answer all phone lines with excellent customer service skills. Always adhering to HIPAA guidelines regarding consumer specific information.

Direct phone calls to staff and take clear, concise messages.

Respond to front door and serve as receptionist as part of the SCU team.

Assist Intake/Admin staff in their daily functioning to ensure critical services are accessible to clients

Request Authorizations through CCBH for individuals opened to services and enter it into Qualifacts as well as end authorizations for individuals closing out of services. Verify insurance information and communicate with Fiscal Department of any changes. Process and update Continued Stay request in a timely manner to avoid failed activities.

Reconcile Department credit card and petty cash monthly. Keeping track of all receipts.

Track and process referrals that come through and communicate with referral source to ensure all referral forms are filled completely to meet eligibility.

Open and close consumers to/from programs, makes charts and complete admission/discharge paperwork. Maintain current list of active consumers and referrals.

Type consumer profile and upload documentations such as crisis plans, ROIs etc. in the consumer's ECR and update it as needed while keeping track of deadlines.

Type correspondence, letters, minutes, outreach letters, ROI forms, compliance surveys, etc. Proofread typed materials to ensure correctness and completeness.

Coordinate the schedules for the agency vehicles within the department (including keeping track of the in and out times for each vehicle signed out).

File documentation in consumer charts while maintaining a neat and consistent filing system.

Conduct periodic record audits in preparation for licensing inspections ensuring that all paperwork is current and meets all Agency, State and County requirements.

Perform various support duties (ordering office supplies, maintain petty cash accounts, requisitions, etc.).

Runs reports to assist staff to ensure the departments meets all deadlines and due dates for documentation.

Update and revise program policies and procedures manual for State and County as assigned by Director.

Attend team meetings, type, and distribute minutes.

Prospective employees hired for this full-time position will receive a $2,000 (full time) sign on bonus. The employee will receive the first third of the bonus after the successful completion of three (3) months of employment, the second third of the bonus will be awarded after the successful completion of six (6) months of employment, and the final third will be awarded after achieving a "satisfactory" rating or higher on the annual performance evaluation.

High School Diploma with business course curriculum.
One year of related office experience, preferably in a mental health setting.
Act 33/34 (PA State Criminal and Child Abuse) Clearances and FBI Clearance.
