SUMMARYResponsible for administering and supervising the operation of the residential experience for associates across the club. The person in this role will ensure a positive, healthy, safe, clean, fun, productive, and functioning living environment for associates. Servicing our associates and enriching their living experience is the priority of the position. Working closely with staff from the partner divisions, the primary purpose of this role is to develop and maintain an environment conducive to making Ocean Reef Club the best place to live and work for our associates. This position's responsibilities include ongoing associate programing and activities, technology implementation and utilization, staff supervision, housing and occupancy administration, associate communication, recruitment support, fiscal management of the operation, associate conduct, mediation and execution of policies, capital planning, and emergency response contingencies. ESSENTIAL DUTIES AND RESPONSIBILITES: In addition to the following duties and responsibilities, other duties may be assigned. Plan and coordinate day to day staff housing operation.Planning, organizing and directing team members to ensure the highest standards of resident satisfaction.Actively promote and develop community atmosphere among all residents.Meet with and welcome new residents upon check in to present lease. Promote interaction amongst residents through events and programming. Mediate resident conflicts in a timely manner and provide proper follow up and resolution. Report to leadership all conduct and behavioral problems associated with their division.Conduct all check outs. Meet with residents prior to vacating their accommodations to communicate and clarify expectations and cleaning procedures.Conducting daily/weekly/monthly inspections to include checking of all public areas, CPQ common areas and CPQ/CQ bedrooms to ensure adherence to the level of cleanliness expected.Ensuring that Housing Coordinator completes workarounds and checks in his or her absence. Moreover, they are to ensure that cleanliness and condition of each area meets designated standards.Training of all new associate housing staff members to the required standard.Uphold the highest standards of cleanliness, health & safety, and conduct. Communicate anticipated business demands daily with each employee and ensure staff's knowledge of services, features, and amenities.Monitoring and ensuring that the Housekeeping staff performs their duties to the expected level of service.Assisting the Housekeeping staff whenever necessary in performing all duties as well as accommodating all guest requests in an efficient manner.Ensuring that all pertinent information is documented daily.Reporting all maintenance issues promptly to the engineering department as well as following up to ensure they are rectified to the appropriate standard. Contribute ideas to the annual Capital R&M plan for continuous improvementEnsuring payroll is documented and submitted accurately and promptly. Ensure payroll forecasts' completion and timely submission.Prepare and distribute assignment sheets to assigned staff and review priorities.Check vacant rooms, verify status and update status of discrepant rooms throughout the shift.Liaise and develop excellent relationships with all relevant departments to ensure the efficient running of your departmentPurchase, re-order and maintain supplies and inventory.Maintain the associate housing budget, weekly stock take.assign housing, including roommate pairing, consideration of special room requirements, and appropriately attending to room changes where necessaryCreates guidelines and a plan for decorations at special events, seasonal celebrations, and holidays.Actively participates and supports club recruitment events including orientation and other outreach events.Ensure marketing materials - printed, digital, website are up to date and relevantOversee all department technology and assist in evaluating needs to improve service and functionality for residential experience. Will also include incorporating technology needs into capital improvement planning Work with HR to understand available housing for the current season and upcoming season as well as placements for any international employees (H2B and/or J-1's).Maintain the Housing Boards with relevant information.Collaborate with property managers and maintenance teams to address tenant concerns, maintenance requests, and ensure tenant satisfaction, utilizing a variety of communication tools SUPERVISORY RESPONSIBILIES: Assign work orders to Housing Specialist and Maintenance person. QUALIFICATIONS:
• Strong leadership and management skills, effective planning and organizational abilities.
• Strong oral and written communication skills, including great attention to detail.
• Requires knowledge of discipline-specific policies, procedures and services and general knowledge of other departments in the industry.
• Ability to enforce all ORC rules and SOPs.
• Computer / Accounting skills: Windows, MS Word, Excel, Outlook, Visual One, Delphi. EDUCATION and/or EXPERIENCE: High School diploma or equivalent required, four-year college degree preferred or equivalent education/experience. Three to five years of experience in a related position. LANGUAGE: Excellent command of the English language. Must be able to comprehend the English language in order to effectively communicate with co-workers and fully understand job assignments.
