The Associate Director determines the overall direction, goals, tactics, and objectives for Pediatric Scheduling Operations. This role will work with the Senior Director to establish and achieve long range goals and ensure the implementation of departmental plans that are aligned with the vision, strategic plans, and goals of the institute.

This role will work with the Senior Director to establish and achieve long range goals and ensure the implementation of departmental plans that are aligned with the vision, strategic plans, and goals of the institute.


  • In collaboration with Scheduling leadership, spearhead the development, communication and implementation of effective scheduling strategies and processes.
  • Lead the delivery of scheduling projects by providing analytical and subject-matter guidance, gathering and documentation of requirements, validation of recommendations and advice on implementation.
  • Serves as an active member of appropriate committees to address issues that will benefit and impact the patient scheduling infrastructure.
  • Partner with operations leadership at to develop scheduling solutions.
  • Serve as the liaison for pediatric oncology scheduling operations across Dana-Farber and Boston Children's Hospital.
  • Serve as the key expert in all scheduling related systems (EZCall, Epic, UKG) and processes.
  • Responsible for converting technical information into user-friendly documentation and instruction.
  • Establish and review metrics to evaluate the performance of the scheduling function.
  • Oversee the scheduling quality assurance and training team and support the development and maintenance of training materials.
  • Develop scheduling guidelines and be responsible for ongoing maintenance and quality assurance.
  • Manage the physician clinical schedule build in EZCall and response collection for the annual schedule for inpatient, outpatient, procedures, JFC, weekends, back-up, and nights. This is an enormously large effort coordinating and building 10 clinical schedules for 123 MDs across all services (ST, HM, NO, SCT, ONC).
  • Serve as the analytical subject matter expert for all things scheduling related (nursing, physicians, procedures) and partner with COBA to manage and built effective reports to monitor volume, productivity, and throughput.
  • Maintain the master scheduling related files including the Master Template Grids, Provider Effort files, Infusion Grid working alongside the Scheduling manager.
  • Review all new provider requests and work with Floor and Disease Leadership to identify where there is space/time for providers to practice.

SUPERVISORY RESPONSIBILITIES:

1-2 direct reports and 10-12 indirect reports.


  • Bachelor's degree in business or health care administration required. Master's Degree (MBA, MPH, MHA) preferred.
  • Previous work with Epic-Cadence is required.
  • 7 years of experience in clinical administration, project management, business planning and/or implementation in healthcare and/or consulting environment. Direct clinical operations experience required.
  • 2 years of management experience required

  • Excellent oral, written, and presentation skills.
  • Strong customer services skills.
  • Strong PC proficiency with advanced Excel knowledge.
