The role of the Assistant Project Manager reports directly to the Project Director and has a close working relationship with the global project team, including a range of communications with Project Management, internal, and external stakeholders. The Assistant Project Manager will be involved in facilitating positive working relationships, facilitate the project governance and controls, with the delivery of important administrative tasks and services. A good knowledge of railway environment and project organization will support to successfully fulfill these responsibilities. Works autonomously in coordinating, managing, and prioritizing the day-to-day Administrative activities for the Project Director and the project team such as: Produce reports, presentations, and briefs for the Project Management team. Follow up on customer and internal action items Support project meetings, preparation of MoM including customer submission, preparation of MPR, ICQ other presentations as needed. Project correspondence letters drafting and follow up, coordinating contract management and documentation management Tracking of open correspondences with the team Travel logistics Support to remote site. Managing office allocations / project directory / project organization chart updates / IS&T interface issues / office assets as required. Receiving & archiving incoming post mails, project mail base Project Calendar organization Formatting & printing outgoing mails Book meeting rooms, management of the project rooms. Serve as the primary point of contact for the Project Director and his core team members, take action as appropriate, summarize, prepare background documents and responses as necessary. Draft and/or prepare a full range of materials such as emails, memorandums, reports, presentations Support preparation of presentations on request from Project Director and support project event preparation Prepare organization chart for the project as well as mapping of key Stakeholder around the project Educational Requirements & Qualifications Degree in engineering or business administration A minimum of five years of experience in a project role Knowledgeable in all standard office tools - Sharepoint, Excel, Word, PowerPoint, Outlook Fluent in English Familiarity with projects, tendering, engineering, sourcing, supply chain, and quality processes Efficient and Organized Excellent Communication skills Capable of initiatives Autonomous Resilient Eager to learn Team player You don't need to be a train enthusiast to thrive with us.
