Job Description: Summary Under the direct supervision and leadership of the Assistant Vice President for Facilities Management and Capital Planning, the Assistant Director of Facilities is responsible to work collaboratively with property management, MSCBA and MassArt staff in all aspects of facility maintenance, renovation, repairs, and capital improvement projects for all MassArt properties. Salary starting range: $90,000 - $100,000 Commensurate with experience Hours: 10:00 AM - 6:00 PM, Monday - Friday Position is governed by the APA collective bargaining agreement Essential Duties and Responsibilities: Builds and maintains positive relationships with property management, MSCBA and all MassArt departments to ensure MassArt community member needs are met in a timely manner. Collaborates regularly with all stakeholders to ensure all facilities are being maintained to the highest possible cleanliness and operational standards. Responsible for supervising, training and evaluating maintainers, licensed trades personnel and support staff. Review, assign and track work orders from issuance through successful resolution. Conduct regular audits of completed work order to ensure work was completed properly, timely, and in a highly professional manner. Monitor facilities daily for cleanliness and safety and take appropriate action to resolve any deficiencies. Maintains a proactive planning approach to all aspects of facilities, ensuring that contractors and services are planned appropriately throughout the year in accordance with contracts and the annual facilities calendar. Solicit and supervise all maintenance contracts and repair work done by outside contractors. Review contracted services annually to evaluate level of service provided and cost effectiveness. Identify future facilities needs and plan appropriately to ensure that facilities meet the needs of the campus community, including updating of a five-year facilities capital plan. Maintain inventory of tools, equipment and supplies. Establish, maintain, and continually update facilities manuals. Ensures that the property interior and exterior are maintained physically by overseeing contracted maintenance staff, vendors and contractors as appropriate. Coordinate response to all resident maintenance requests within 24 hours. Coordinate timely snow and ice removal from parking lots, walkways, and patios by engaging vendor and department staff. This will entail occasional evening and weekend work. Oversee general furniture repair, cleaning, and replacement Undertakes and oversees temporary reconfiguration of campus spaces in support of community-sponsored events, or other requests from the campus team. Maintains and enforces facilities policies, including the development of new policies as identified by the AVP of Facilities. Meet weekly with the AVP of Facilities. Serves as on-site coordinator for campus expansion/remodeling projects, working with department staff and contractors to ensure timely completion of projects with minimal interruption to campus services and operations. Coordinates scheduled work, arranges for vendor access, and generally supports the timely completion of planned construction activities with the least impact to campus operations possible. Serves as a key member of the Rapid Response Team (RRT) in the event of natural or man-made emergencies affecting campus operations. Approaches others in a tactful manner; reacts well under pressure; treats others with respect and consideration regardless of their status or position; accepts responsibility for own actions; follows through on commitments. Respond to emergencies and follow up with restoration and repairs (24/7/365). Undertakes other duties which may be reasonably required by the campus community that are commensurate with the nature of the position. Requirements: Qualifications: 5+ years in facilities management or related experience. Proven knowledge of the principles and practices of facilities management including skills such as operations, asset management, and capital planning management. Academic and/or licensing credentials in the fields of construction and /or related trades; facilities management. Proven ability to manage diverse projects and tasks, displaying exceptional leadership, organizational, and communication skills. Preferred knowledge in construction and/or relevant trades. Bachelor's degree in Facilities, Construction or Project Management is preferred. Strong customer service, organizational, interpersonal, verbal, and written communication skills. Must have experience working with diverse populations and have the ability to deal with young adults, faculty, and staff in a multicultural, multiracial environment.
