The Assistant, Clinic Administrator is responsible for assisting the Clinical Administrator and Director, Operations in managing all aspects of patient care operations, employee engagement while demonstrating the primary goal of driving excellent customer service.

Duties & Responsibilities:
  • Assists in managing the day-to-day workflow, operations, and team performance for clinical and administrative roles
  • Manages the needs of patients by ensuring the highest quality of care and customer service excellence
  • Assists in addressing routine and complex questions from patients under the guidance of the Clinical Administrator and/or Director, Operations
  • Immediately escalates all pertinent and/or emergency situations to the Clinical Administrator and Director Operations
  • Assists Clinical Administrator in maintaining clinic services, monitoring staff functions, organizing patient operations and procedures
  • Troubleshoots with the team on removing barriers and collaborates with Clinical Administrator and Director of Operations identify solutions that enables the clinical team to perform at required levels
  • Provides professional, well-organized, and proficient communications/instructions to all team members
  • Champions the efforts made by the Clinical Administrator with respect to workplace changes, to enforcing user adoption of systems, policies, procedures, compliance, and productivity standards
  • Partners with the Clinical Administrator in creating and assigning appropriate work schedules ensuring adequate staffing and employee retention
  • Takes timely and appropriate steps to coach, retrain and/or performance manage team members aligned to performance expectations
Supervisory Responsibilities:
  • Leads and develops the clinical team (medical and non-medical) to drive high performance in a positive and fast paced work environment
  • Roles models and champions Mia Aesthetics Customer Service standard
  • Supervises the clinic customer satisfaction goals, overseeing team training, and responding to patient queries or concerns
  • Provides training and coaching to the clinical team on key areas of job responsibility while fostering strong working relationships
  • Performance manages to include driving disciplinary actions as necessary
Requirements

Required Skills/Abilities:
  • Excellent communication, leadership, time management, and problem-solving skills
  • Demonstrates strong customer service orientation and emotional intelligence
  • Strong business acumen with the know-how on driving operational excellence
  • Knowledge of healthcare standards and medical terminology
  • Technologically savvy and comfortable with multiple applications and online platforms
  • Physical dexterity and stamina; ability to actively participate throughout clinic environment
Education and Experience:
  • Bachelor's degree in Business Management or related field preferred
  • 2+ Years' experience in a people management role with direct reports in a clinic setting
  • HIPPA, OSHA
Physical Requirements:
  • Prolonged periods of standing, bending, and reaching low or overhead
  • Must be able to lift to 10-20 pounds at times
  • Category I exposure to bloodborne pathogens; frequent exposure to chemical hazards; may encounter radiation hazards
