Job Details

Responsibilities include but are not limited to:
  • Office Management: Oversee all aspects of office operations including equipment, supplies, and facility maintenance. Ensure the office environment is organized and functional.
  • Administrative Support: Perform receptionist duties such as answering calls, managing mail, scheduling appointments, and greeting visitors. Support the entire team with various administrative tasks.
  • Document Control: Maintain control over architectural documents and contracts, ensuring they are updated, filed, and retrieved efficiently. Manage electronic and paper filing systems to ensure easy access to information.
  • Data Entry and Reporting: Accurately enter data related to office and architectural projects into our database systems. Generate reports as needed.
  • Project Coordination: Assist with coordination of project activities, ensuring that all parties are informed of their commitments. Help prepare for meetings and events.
  • Contract and Vendor Management: Assist with drafting and managing contracts and liaise with vendors and service providers to ensure office and project supplies meet quality and cost specifications.
  • Specification Support: Assist in developing and maintaining project specification documents and standards.
  • Meeting and Event Coordination: Organize logistics for office meetings, events, and staff functions. Prepare meeting rooms and assist with the setup of technology and presentation materials.

Qualifications:
  • Two (2) years of prior experience in office setting and/or customer service atmosphere
  • Architectural experience and/or education preferred but not required
  • Proficiency of Microsoft Office Suite, particularly Word, Excel, and PowerPoint
  • Must have own personal vehicle which is reliable
