ADMINISTRATIVE ASSISTANT

ABOUT THE COMPANY:

Are you a detail-oriented Administrative Assistant passionate about customer service and administrative tasks? We're seeking an Administrative Assistant to join our dynamic client in Pittsburgh. As an Administrative Assistant, you'll be the first point of contact for customers in person and over the phone. You'll support their Office Manager, Vice President, and office staff, ensuring smooth operations and exceptional service. From managing incoming calls and mail to assisting with payroll and special projects, you'll play a vital role as an Administrative Assistant in our day-to-day functions.

OVERVIEW OF THE ADMINISTRATIVE ASSISTANT ROLE:

  • Answering incoming calls promptly and courteously, providing necessary information with a positive attitude
  • Managing mail deliveries, packages, and couriers
  • Performing various clerical duties such as file maintenance, labeling, and document organization
  • Supporting Accounts Payable by matching invoices to purchase orders
  • Assisting Payroll with timesheet management
  • Filing, organizing, and maintaining records
  • Coordinating with vendors to request W-9 forms and Certificates of Insurance
  • Contributing to special projects as required

PREFERRED QUALIFICATIONS FOR ADMINISTRATIVE ROLE:

  • Excellent written and oral communication skills
  • Proficiency in handling multiple-line phone systems
  • Strong computer skills with knowledge of Microsoft Office (Excel, Word, Outlook)
  • Data entry expertise
  • Detail-oriented mindset with the ability to thrive in a fast-paced environment
  • Team player with the capacity to meet deadlines
  • Exceptional organizational skills
  • Willingness to adapt and take on new tasks
