HOW AN ADMINISTRATIVE ASSISTANT III WILL MAKE AN IMPACT: Excellent written and verbal communication is required to effectively brief and direct groups during training events The ability to juggle many requests and multi-task, with attention to detail for accurate and timely customer support is essential The position will require walking and standing during events which entail leading building tours Travel to other locations for occasional in-person networking is likely Excellent interpersonal skills and attentiveness to detail, with the ability to handle rapidly changing priorities is required The AA should have basic skills using MS Outlook, Word, and Excel, Sponsor Training System, Sponsor Access Request System, COGNOS, and SharePoint Training will be provided for local training databases Additional training may be required for any databases/tools beyond those mentioned The AA will assist with the administrative set-up and preparation for the bi-weekly New Employee Orientation (NEO); monitor Team aliases on two different systems to ensure customer replies are accomplished within 1 workday; and conduct ongoing status checks to keep customers informed until issues are resolved Update office phone and emergency rosters upon arrival or departure of employees The AA's primary responsibilities will be managing various categories of training enrollments which requires coordination with multiple agencies and organizational elements; processing training for travel and monitoring area reports to alert contacts of pending required training; conducting facilitation of training events (from reserving rooms, submitting visitor requests, to preparing sign-in sheets and agendas, and collecting and running presentations; navigating multiple training databases to enter training completions; providing back-up to both Agency teams, as needed Training support requiring urgent collaboration is routinely necessary to enable on-time travel of officers deploying to various overseas locations Information management is an ongoing and vital part of the position, to include updating administrative and customer guidance, and posting customer guidance to dedicated SharePoint pages Reference a master facilitation sheet, to create event folders, prepare workforce announcements, and track pertinent details, until the end of the event Conduct follow-up action to ensure students receive credit in the proper training database The AA will prepare monthly and quarterly travel reports, and as requested by management The reports are run from a local system where the AA will enter the parameters, run the report, and format the output as directed by management Collaborate with division contacts to track the progression of training completions, ensuring travelers meet all requirements prior to scheduled travel date Manage the regular review of information ( administrative and customer-focused), as described above WHAT YOU'LL NEED TO SUCCEED: The position requires an active TS/SCI with Polygraph clearance HS Diploma and 3 years of relevant experience or equivalent combination of education and experience Core hours are 9:00am - 3:00pm Candidate must be able to operate in a team environment as well as successfully work on their own This position is on customer site GDIT IS YOUR PLACE: 401K with company match Comprehensive health and wellness packages Internal mobility team dedicated to helping you own your career Professional growth opportunities including paid education and certifications Cutting-edge technology you can learn from Rest and recharge with paid vacation and holidays Scheduled Weekly Hours: 40 Travel Required: None Telecommuting Options: Onsite Work Location: USA MD Laurel Additional Work Locations: We are GDIT.
