And everyone, in their own unique way, plays an important part, every day. Major Responsibilities: 1. Act as the point of contact between the executives and internal/external stakeholders. 2. Receive calls, take messages and route correspondence. 3. Effective communication with clients, peers and other professionals that is sensitive to racial/ethnic/cultural/class backgrounds. 4. Make travel arrangements for management as necessary. 5. Prepare agendas and minutes for meetings. 6. Monitor and order office supplies and research advantageous deals or suppliers. 7. Produce reports, and PowerPoint presentations. 8. Develop and maintain an efficient documentation and filing system. 9. Perform other administrative duties as required. 10. Support front desk when vacant, if necessary. Standard Staffing Level Responsibilities: 1. Complies with established departmental policies, procedures, and objectives. 2. Attends variety of meetings, conferences, seminars as required or directed. 3. Demonstrates use of Quality Improvement in daily operations. 4. Complies with all health and safety regulations and requirements. 5. Respects diverse views and approaches, demonstrates Standards of Respect, and contributes to creating and maintaining an environment of professionalism, tolerance, civility and acceptance toward all employees, patients, and visitors. 6. Maintains, regular, reliable, and predictable attendance. 7. Performs other similar and related duties as required or directed. All responsibilities are essential job functions. II. Position Qualifications: License/Certification/Education: Required: 1. Minimum of a High School Diploma/GED/HiSet or Associates. 2. Satisfactory CORI background check. Preferred: 1. Bachelor's degree preferred. Experience/Skills: Required: 1. Minimum of 2-4 years of related Administrative Assistance experience is required 2. Strong Microsoft Office and computer skills. 3. Strong organizational and time management skills in order to meet deadlines. Preferred: 1. Executive level Administrative Assistance experience is preferred. 2. Experience and/or training in general office procedures 3. Strong verbal and written communication skills. 4. Exhibits strong organizational and time management skills. 5. Problem solving skills. 6. Self-motivated and proactive 7. Ability to multitask and prioritize daily workload 8. Excellent interpersonal skills and professionalism 9. Ability to maintain confidentiality 10. Thorough knowledge of office systems, office management and computer literacy including Microsoft Systems and Electronic Health Records. 11. Proficiency in English, verbal and written Unless certification, licensure or registration is required, an equivalent combination of education and experience which provides proficiency in the areas of responsibility listed in this description may be substituted for the above requirements. Department-specific competencies and their measurements will be developed and maintained in the individual departments. The competencies will be maintained and attached to the departmental job description. Responsible managers will review competencies with position incumbents. III. Physical Demands and Environmental Conditions: Work is considered sedentary. Position requires work indoors in a normal office environment.
