Job DetailsJob Details:
We are currently seeking a dynamic, detail-oriented Accounting Specialist to join our team in the medical industry. This full-time, permanent position offers the opportunity to play a crucial role in our organization's financial operations, fleet management, and administrative systems. The successful candidate will have a strong background in maintaining financial records, coordinating major repairs on company vehicles, overseeing fuel management programs, and completing Accounts Payable and Accounts Receivable tasks. This role requires a high level of professionalism, excellent communication skills, and the ability to support managers and employees through a variety of tasks related to organization and communication on projects.
Responsibilities:
- Maintain financial records and accounts using manual and/or automated systems
- Ensure preventative maintenance program is followed on all fleet vehicles
- Coordinate major repairs on company vehicles, contact insurance for approval/authorization
- Coordinate vehicle leases, purchases, and sales
- Oversee agency property and vehicle insurance program
- Monitor vehicle registrations and renewals
- Monitor the Fleet Management and inventory system on a regular basis
- Complete Accounts Payable and Accounts Receivable tasks as needed
- Coordinate procedures and ensure existing administrative systems and processes make the department more efficient
- Support managers and employees through a variety of tasks related to the organization and communication on the project
- Ensure drivers are authorized to drive and assign fuel pins as needed
- Perform multiple clerical duties as well as billing and administration support/duties
- Maintain professionalism and positive attitude in supporting team members/projects in a timely manner to meet team goals
- Organize, schedule meetings and appointments or create calendars for team when needed
- Conduct reporting/analysis of data when requested/necessary for the department/project needs
- Prepare reports required by government agencies
Qualifications:
- 2+ years of experience in a similar role
- Strong knowledge of financial record keeping, fleet management, and administrative systems
- Excellent communication and organizational skills
- Proficiency in Microsoft Office Suite and accounting software
- Ability to multitask and prioritize work effectively
- Strong attention to detail and problem-solving skills
- Ability to work independently and as part of a team
- Strong understanding of Accounts Payable and Accounts Receivable
- Experience in coordinating vehicle leases, purchases, and sales is a plus
- Knowledge of government reporting requirements
- Ability to maintain professionalism and a positive attitude under pressure
